Definitions

Live Languages Abroad shall be referred to as LLA from this point forward.

The student or client is the person or persons in whose names the booking is made or on whose behalf the booking is made.

Enrolment & Confirmation

This agreement is legally binding once LLA has received a completed enrolment form from the student or on behalf of the student, on-line,  in writing or over the phone and once the relevant payment (see payment terms below) has been received by LLA and written confirmation sent to the student.

LLA acts as an agent for language schools abroad and relevant suppliers of any language course, accommodation, transfer and any other product sold by LLA.

English laws shall apply to this agreement.

Payment Terms

A non-refundable deposit of £200.00 or €250.00 is required for bookings made more than 8 weeks prior to the commencement of the course. The remainder of the fees are due no later than 8 weeks prior to the commencement of the course.

If you book your course less than 8 weeks prior to the commencement of the course, the full payment of fees will be due on booking.

If the balance of fees is not paid by the 8 weeks prior to the course commencement, LLA reserves the right to cancel your course and accommodation (if booked with LLA). The deposit of £200.00 or €250.00 is non-refundable and the cancellation terms as stated below will apply.

Late payments may be charged a £12.00 late payment fee.

LLA charges an administration fee of £45.00 or €60.00 per person per booking.  LLA can withdraw this charge at its sole discretion if a student is booking more than one booking, or discount this charge for some group bookings.

Invoices are always in Euro’s this is the static price that the schools set. You are welcome to pay in Euros or Sterling. If paying in Sterling the rate of exchange will be agreed on the day of payment to be fair as possible to both parties.

Charges are sometimes made for material & books, exams fees, registration fees, visa fees and activity costs. Summer supplements are applicable on tuition and/or accommodation in some locations. Please refer to our price lists for specific details.

Due to fluctuations in currency we may at times have to may changes to our prices. No changes will be made to bookings once the full payment has been received.

Methods of Payment

We no longer accept cheques.

Bank Transfer

Payment may be made in pounds sterling or euros. Full programme fees and all bank charges must be paid in full by the student. LLA reserves the right to invoice the student at a later date for any bank charges that LLA had to cover. Please make sure you notify us if you are going to make a bank transfer. Please contact us for our bank details.

Courses

Lessons at our partner language schools are held from Monday to Friday. Lessons are usually between 40 and 60 minutes in duration. Classes are usually made up of a maximum of between 8 or 15 students. For specific details please see the school description on our website or in our brochure.

Students (except complete beginners) will be tested on their language ability prior to commencing lessons. This will either be done via an assessment test on the first morning of their course or via a test that we will send to you, that must be completed and returned to us prior to your course commencement.

In the rare event that a student cannot attend a course because they are found to not have the necessary language ability after completing their initial level test, or there are insufficient students to make a group, the school will offer an alternative course or private lessons. If private lessons are offered the number of lessons will equate to the same value as the original course booked, in some cases this may be fewer lessons as private lessons are more expensive due to intensity of the course and personal attention received.

Accommodation

Accommodation is normally booked from the Sunday before the start of the course until the Saturday after the course. Extra days before or after the course may be possible on request at an extra cost and according to accommodation availability.  If more than 3 extra nights of accommodation is required the price of a weeks accommodation will normally be charged. Discounts will not be given for students that stay less than the number of nights they have booked.

Host families are carefully chosen by our partner language schools. Host families can be a married couple, a single person, with or without children. If the client has a preference they should state this when booking, although we cannot guarantee we can meet all your requirements.  Host families can host students on a B&B (breakfast only), half-board (normally breakfast & evening meal) or full board basis (breakfast, lunch and evening meal).

Shared apartments can be shared with other students or with local people. Shared apartments are on a self-catering basis.

Student Residences can be residences that house 10-20 students or larger residences housing a large number of students. Some residences maybe University residences and also accommodate students from different schools or universities. Residences can have catering facilities and can be offered on a self-catering, B&B, half board or full board basis. Specific details can be found on our accommodation pages on our website or in our brochure.

Shared rooms are normally rooms with two single beds and reserved only for two friends booking together unless otherwise stated by the school.

Summer supplements can be applied to some accommodation in some locations. Please refer to the price sheets or contact us for details.

Travel & Transfers

LLA does not arrange flights. Students must make their own travel arrangements and are responsible for obtaining all necessary travel documents, such as a valid passport, flight ticket. We are happy to advice students on the best method of travel to the school.

LLA can arrange transfers from airport/train station on arrival and/or departure at specific schools for an extra cost. Please refer to the school price lists for details or contact us in the office for transfer advice. LLA will require full flight details 7 days prior to the commencement of your course in order to arrange your transfer.

If students arrive outside the dedicated transfer times as detailed in the student guide that will be sent to you with your course confirmation  then an extra charge may be made by the school. LLA accepts no responsibility for missed transfers due to flight details or students not following the specific transfer details instructed to them.

Visas

LLA will supply the necessary information for students in order to obtain a visa, but are not responsible for the Consular Authority’s decision to issue a visa or not. It is the students responsibility to allow sufficient time to obtain a visa and to check with the consulate how long this is likely to take. LLA will apply the normal terms of cancellation to any booking cancelled as a result of not being able to obtain a visa. LLA may waive some cancellation terms if it can be proven that not being able to obtain a visa was out of the students control.

Social Activities & Excursions

Any information published by LLA with regards to social activities and excursions is provided as a guide only. The schools will provide students with a scheduled activity programme once on their course.

Although most of the activities and excursions are included in the cost of the courses at times there may be additional charges for things such as for example entrance fees. The school will be able to provide students with details of any additional excursion fees once abroad.

Insurance

It is the responsibility of the client to ensure they have the necessary insurance for their course. For more information or advice on insurance please contact us.

Public holidays & Missed Lessons

Where a course falls on a public holiday, lessons will not take place and will not be made up unless otherwise stated. No discounts will be given for courses that fall on days that are public holidays.  We try to be as accurate as possible with regards to public holidays but sometimes the dates can change,  it is therefore the clients responsibility to check public holidays with us prior to the course commencement.

Lessons may be missed on the first day due to level tests and welcome activities or at the end of the course for evaluation tests. These lessons lost will not be made up or refunded as they are all part of your language course programme and learning experience.

Cancellation Terms

If this agreement is cancelled by the client the following provisions apply.

All cancellations incur a loss of the deposit plus:

Cancellation between 14 + days before the start of the course: Full refund given minus the non-refundable deposit of £200.00

Cancellation between 0-13 days before the start of the course: 100% of the full cost of the course and accommodation lost.

Cancellation must be received in writing. The day the notification is received in writing by LLA is the official cancellation day in accordance with the cancellation terms above.

If a new booking is made in place of the cancelled course, LLA may withdraw certain cancellation terms.

Amendment’s to your booking

Students may, at the discretion of LLA, change details of their booking or postpone their start date, provided written notice from the student is received at least 21 days before the start of the course. It is not possible to amend or postpone a course after the date on which a student is expected to arrive at their accommodation or start their language course.

Amendments and postponements are subject to a £45/€60 amendment charge. LLA may withdraw this charge at their sole discretion depending on the circumstances and reasons for the amendment.

Complaints     

If students feel they have a genuine reason for complaint, they must inform the school of this whilst they are still abroad and to LLA as soon as possible.  We will then respond to all reasonable complaints and will do all we possibly can to resolve any problems. We cannot be expected to act on a complaint or rectify any problems if we were not informed of them as soon as possible, whilst the client is still on the course abroad and if we were not given reasonable time to respond and try to resolve the complaint.

Our expectations for students

Students are expected to behave in a courteous manner and to respect their fellow students, teachers, staff at the school and host families. The illegal use of drugs, alcohol abuse and inconsiderate behaviour is considered unacceptable and will not be tolerated. LLA reserves the right to withhold courses and school accommodation from any student violating school rules and regulations or behaving in an offensive manner. Such offensive or inconsiderate behaviour as mentioned above may result in the student being expelled from the school.  LLA reserves the right to send home, without refund or escort any student violating the terms of this article. If sent home, the cost of the trip home will be at the expense of the student or his/her family.

Accuracy of information

Although we make every possible effort to ensure that the information we provide our clients with on our website, in our brochure and any additional information we send to you is accurate,  LLA does not accept responsibility for errors or omissions. We are dependent on the information supplied to us by our partner language schools and authorities abroad. At times these organisations are at liberty to make changes. When changes are made we do our utmost to inform you of any changes that may affect you or your booking as soon as possible,  we recommend that you discuss with us any information of importance to you before making your booking.
